{meet}spiration mondays…the team meeting

I’m starting a new series on meeting inspirations.

Tired of the same old meeting…wanna experience something different?

My hope is that this will give you some ideas on HOW TO BE DIFFERENT.

A little background on this meeting: The client didn’t want a typical meeting.  They wanted the group to hang out and relaxed.

This meeting took place at Hotel Vitale in San Francisco.  This is a great little hotel located along the Embarcadero and perfect for those not wanting a corporate feel and for smaller groups.

When we first went to the hotel – the thought was to have the meeting outside because the hotel offers some fabulous terraces.  How cool would that have been?  It would have been great, especially since the weather in the bay area has been fantastic…but for those who know the bay area…the weather could change at the drop of a hat (also the hotel is across the street from the Ferry Building where they have an amazing clock tower that likes to chime loudly on the hour – could be a bit distracting).  So instead – we thought about doing an amazing dinner here.

With the terraces not working for the meeting, option 2 was to headed inside to the Americana Lounge.  This was a great space and fit the coolness factor we were looking for – not to mention that we wouldn’t need to rent furniture (Do I hear some budget savings!).  But there was one key element it was missing…privacy.  This space was semi-private and even though the client wanted an informal meeting, the information they were working on was confidential, so we nixed that option for the meeting, but kept it out there for meals. (We did end up using it for breakfast and lunch.)

So on to option 3, the Amalf room we went.  This was the perfect room for them – natural light and really a blank canvas to get to work.  We did have rent furniture and linen (we weren’t grooving on the color options the hotel had).  We were conscious of the budget as we didn’t want to break the bank and I’m happy to say – we were able to do some nice things with a decor budget of about $2000.

The company colors were 2 shades of blue.  We decided the linen would be gray, but when we got in the room, we were swimming in gray…it was way too much.  The hotel had just got in some brown linen (that wasn’t part of our original color choices they had given us) and viola!!  Gray, brown and touches of blue which made such a great impact.  Not to feminine and not to masculine – perfect for “The Lounge.”

Great places to get event related decor at affordable prices…Target, Ikea, Pier 1, Bed Bath & Beyond and even Dollar Stores.

A {fresh} twist on Box Lunches

What comes to mind with you think of a box lunch at a corporate meeting?

A Brown or White Gable Box like this one?

Pretty boring ~ huh?  I think so.

I’m always on the hunt for fresh and innovative ideas of what to do with food – ESPECIALLY at hotels.

I’ve been spending some time on Pinterest – the virtual pinboard.  (I have to confess…it’s a bit of an addiction!)  I’ve seen so many inspirational pictures and getting loads of ideas.  Feel free to follow me here.

So picture yourself breaking for lunch at a hotel and it’s the last day (typically the “deli” day).

STEP 1:  You walk out and grab your brown bag and the menu is printed on it (you think – sweet…I know what my options are).

STEP 2: You head down the buffet line and choose what YOU want and put it in the bag…not what is always in the box lunch that 9 out of 10 times you won’t eat (like the whole fruit that most of the time gets thrown out).

How easy is that?

What a concept…and you most likely won’t be wasting food.

How about packing some of the yummy goodness in a container like this so you can see what you will be eating…

Or packaging your sandwich like this…

hmmmmm…now that is something to think about.  This would require a little more work on your part – but the end result would be a great lunch that your attendees will remember.  And the point is that you want them to remember the event ~ right?

OR

Don’t want to use a box or bag?  How about using a tray that has your logo on it.  Take a peek at this – this was for a wedding – but I think you get the idea…

{event} Giddy Up – It’s Time to Meet

Howdy ya’ll ~

We recently planned and executed a 1 day event at the Marriott Santa Clara for one of our favorite clients.

The Theme – A Western Pioneer Hoe-down!

The theme was carried through out the entire event…from the registration experience, badges, decor, food, tables, stage, music…and even to the energy drinks.

150 Product Managers, Technical Architects and Program Managers had no idea what they were walking into when they walked down the hall to the Grand Ballroom.

From the moment they entered the hall – they were taken back in time.

We decided we didn’t want to have huge signage – so we opted for a simple wooden “farm” frame to let everyone know they were at the registration desk.

We wanted to use the logo of the event vs. just the company logo.

We didn’t want to use hotel linen so we opted to do picnic red and black.  The center pieces were a mixture of red and silver lanterns, simple flower arrangements in little mason jars and candy mints (of course we had to get the Bandana packaging!).

This group loved Energy Drinks…but we wanted it to still have the western theme.

One of my pet peeves is not having the food labeled so you know exactly what you’re eating.  So we made some labels – that went with the theme.

A couple of the leaders of the group were musicians and played for the group – it was awesome!

Check out what’s coming…{iROAR Destinations}

So next week we are starting something new at iROAR.  Each week is going to be destination specific.

For example next week is going to be all things San Francisco! I figured it would be a good idea to start in my own city. :)

Monday: Destination San Francisco
Tuesday: Spotlight on a specific hotel
Wednesday: Special Deals @ the hotel
Thursday: Spotlight on a specific venue (for offsites)
Friday: Fitness Friday or Foodie Friday

Obviously there are so many hotels, venues and restaurants out there, but this will give people just a little glimpse into how much fun they can have in a particular destination.

My ultimate goal…to introduce you to destinations and properties that you wouldn’t think of for meetings or to visit.

I posted a question to my ROAR events group facebook fan page asking what your favorite hotel was for a meeting and to visit.  Who knows – based on those responses…the hotel that you said might be part of the “iROAR destination.”  Be sure to go to our fan page and let us know your favorite.

Their very first tradeshow…Cloud Computing @ Yahoo!

ROAR has been pretty crazy lately so I apologize for not updating the blog…

The Cloud Computing group at Yahoo! came to ROAR with plans of participating in their first ever tradeshow.  No booth…no experience…nothing.  Only the fact that they signed on as a platinum sponsor for a conference that also came with a 10×20 booth space.

Their main goals were to build awareness and to recruit amazing engineers.  No one really knew that Yahoo! was in the Cloud space.  After this show – and the talks that they signed up for – everyone knows now!!  Oh – they don’t have anything to show…

So what did ROAR do – we hit the ground running.  We worked with General Graphics to design the booth that would hit the mark…build awareness…create an experience…and get the Yahoo! name all over the show floor.  What better way to have the name all over – popcorn!!

Amazing Press Coverage – Yahoo! Open Hack NYC

ROAR events group had the privilege to work on the Yahoo! Open Hack Day NYC event.  CNN just posted a great video about the event.  I hope that you enjoy it…

This was a crazy event that takes place over 24 hours.  We took over the Millennium Broadway Hotel in Times Square and the Hudson Theater.  The decor of the hotel went perfectly with the Steam Punk Theme.

Cool Monogram Letters

OK – so this has absolutely nothing to do with hotels or events – but everything to do with super cute and fabulous.  I like a lot of people out there LOVE looking at blogs and I have access to so many more now that I’m a bit twitter crazy.  I saw these Metal Monogram Letters on Swanky Tables blog – an event designer and stylist out of Portland.  By the way – if you click on her blog and head to portfolio, you can see her flickr stream of desert tables she has done – very pretty!!

Tucker’s Pokeball Inspired Birthday Party

We had a great time creating Tucker’s Pokeball themed Birthday Party this year.  I was able to get inspiration from so many different places to create the party of his dreams.

Amy Atlas puts together amazing dessert tables and we created one with Pokemon in mind.  Tucker thought of all the names for the candies.  We even made Gummy Sushi called Magic Carp!!

The honeycomb globes were from Martha Stewart.  We were on the hunt for the perfect color.  It’s amazing how many pink and blues you can find.

The invitations were all handmade.  I can say that I’m now a master pokeball maker.  We purchased the supplies for the invitation from the Paper Source in San Jose.  I love that store.  I could spend hours there.

I love TomKatStudio’s Cupcake Monday inspirations.  We used Wilton Stand that she recommended and decorated.  Gotta love zot strips.

We came up with several different games for the kids to play.  We had to make it a bit challenging for them – they were in the 8-9 age range.

The first game was Gotta Catch ‘Em All – we hid pokemon cards in the back yard.  Each color coded for the individual child.  They could only find there own card.  If they found someone elses – they had to leave it there and couldn’t tell them.  It actually worked out well. :)

The second game was to guess how many Caterpies were in the jar.  We used 2 different types of gummy worms.  The kids all came pretty close.

The third game was Pin the Tail on the Pikachu.  Lisa on my team is an amazing artist and she drew a Pikachu and the tails.  We made this a little challenging for the kids – it couldn’t be too easy.  We spun the kids around about 10 times and had them blindfolded.  It was really funny watching them wobble.

The fourth game was the Poke Race.  We spilt the group into 2 teams of 6.  Each had a balloon (AKA Pokeball).  They had to run across the lawn with the ballon on their head and run back.  They had to pop the balloon before the next person could go.  These kids were so competitive.

We ended the games with a Pikachu pinata.  What kid doesn’t love whacking a pinata with a baseball bat.

The kids were pooped by the end of the day.  I’m sure it didn’t help that they were eating candy all afternoon and enjoying Chocolate and Vanilla Sprinkles Cupcakes.

All in all – the day was amazing…he is already talking about next years.  I think there might be another event planner in the family!!

Mountain Re”treat” in Squaw Valley

I recently visited Squaw Valley Lodge  for the annual Brews, Jazz and Funk Fest in August (event was held in the Village at Squaw) that benefitted the Humane Society of  Truckee and Tahoe.  Rachel Lyons, sales coordinator for Squaw Valley Lodge took me on a great tour of the hotel.   The Lodge gives a small ski-town family feel to anyone who visits.  While staying there, I felt like I was part of the family.  The view of the mountains is breathtaking.  Rachel and I had a great conversation about holding more weddings at this venue.  A natural place to take wedding photos for sure!  The tennis courts give this amazing, spacious feel to the hotel.

Squaw Valley Lodge has a great pool and barbeque area perfect for anyone. P8141348 I would love to see more meetings held here-  I think it is a perfect place for a team-building experience- the ropes course is right across the way!  Only note to self- each room is decorated differently so we would be sure to work closely with Rachel- who knows this place inside and out- to make sure each of our guests were in the appropriate “personalized” rooms.  Make sure you visit this place- walking distance to the village- right under the cable ride to High Camp.  An outdoor experience sure to please in any season.  Thanks to Rachel and to Squaw Valley Lodge Staff for your hospitality! Also, I’m giving a shout out to the wonderful folks at Uncorked at Squaw Valley- a FABULOUS wine bar in the village!  I will definitely be back!P8141341

Great Party Idea

I have to say that I missed this post from Hostess with the Mostess Blog today.  I’ve been on a roll with my todo list. :)  But thanks to Jeneration PR – I follow her on twitter…I was able to see it.

This is such a cute idea for kids obviously – but for corporate events planners to do for their employee’s children.  So many corporations are incorporating kids events since employees want to be around their families more.  I know that Yahoo does a bunch of events that include children.

Typically they are around the holidays – Halloween or Christmas or even just the end of summer…but why not do one in March….Kids would get a major kick out of it.  Click the link and check it out.
